Adding and editing vendor details

Learn how to add and manage vendor information including contacts, services, prices, payments, and documents.

How to add a vendor

  1. Go to Planner > Vendors and click Add vendor
  2. Fill in the details and click Save vendor or Save and add more

Vendor fields

Name - The vendor's business name. Required.

Booked status - Toggle Booked? in the header to mark a vendor as booked.

Website - The vendor's website URL.

Instagram - Their Instagram handle.

Notes - Internal notes about this vendor.

Services

Add what services the vendor provides:
- Category - Select from: Venue, Catering, Photography, Music, Flowers, Attire, Stationery, Planner, Gifts, Other
- Price - The quoted price
- Description - Details about the service

Click Add category to add multiple services. Click Remove to delete a service.

Contacts

Add contact people at the vendor:
- First name
- Last name
- Email
- Phone

At least one contact is required. Click Add contact to add more.

Payments

Track payments to this vendor (same fields as budget payments):
- Amount, Payer, Due on, Paid on, Budget item link, Notes

Click Add new payment to add payments.

Documents

Upload contracts, proposals, or other documents from this vendor. Click Add new document to upload a file.

Vendor statuses

Vendors have automatic status indicators:
- New (grey) - Not booked, no payments
- Booked (blue) - Marked as booked
- Upcoming (gold) - Has upcoming payment due dates
- Due (salmon) - Has a payment due today
- Overdue (rose) - Has overdue payments
- Paid (mint) - Booked with all payments made

Editing a vendor

Click on any vendor in your list to open the form and edit their details. Switch between tabs for Details, Contacts, Payments, and Documents.

Deleting a vendor

Click Delete vendor at the bottom of the form. Confirm when prompted.

Tips

Add vendors early. Even if you're just considering them, add them to your list so you can compare options.

Upload contracts. Having contracts attached to the vendor record means everything is in one place.

Track payments here and in budget. Link payments to both the vendor and a budget item for complete tracking.
