Setting guest status
Learn how to track and manage your guests through four RSVP statuses: Not invited, Unconfirmed, Confirmed, and Regretfully declined.
Every guest on your list has an RSVP status. This is how you track who's coming, who's not, and who you're still waiting to hear from.
The four statuses
Not invited - This guest is on your list but hasn't been formally invited yet. Think of it as your shortlist. This is the default status when you add a new guest.
Unconfirmed - You've invited them but haven't heard back yet. Waiting for a response.
Confirmed - They're coming! This guest has said yes.
Regretfully declined - They can't make it. Sad, but at least you know.
How to set a guest's status
- Go to Guests in your main navigation
- Click on the guest you want to update
- Go to the RSVP tab in the sidebar
- Select the new status from the dropdown
- Click Save guest
Status colors
Each status has its own color so you can quickly scan your guest list:
- Confirmed shows in mint/green
- Unconfirmed shows in gold/yellow
- Regretfully declined shows in rose/pink
- Not invited shows in grey
Automatic status updates
If you've enabled online RSVPs, guest statuses update automatically when guests respond through your website. You don't have to update them manually for online responses.
You can still manually change a status anytime, even after a guest has responded online. This is useful if someone changes their mind and calls you instead of updating online.
Filtering by status
Your guest list has tabs at the top that let you quickly filter by status:
- All - Shows everyone
- Confirmed - Just the confirmed guests
- Unconfirmed - Everyone you're waiting to hear from
- Declined - Guests who can't make it
- Not invited - Your shortlist
Each tab shows a count so you can see your numbers at a glance.
Bulk updating status
Need to update a bunch of guests at once? Select multiple guests using the checkboxes, click Edit guests, and change the status for all of them in one go. Check out our article on bulk updating guests for details.
Tips
Don't stress about "Not invited." It just means they're on your list but you haven't sent the invite yet. It's not a judgment call!
Use status to track your progress. As you send invites, move guests from "Not invited" to "Unconfirmed." As replies come in, they'll move to "Confirmed" or "Regretfully declined."
Online RSVPs make this easier. If you're using WedSites' RSVP feature, most of this happens automatically.
