Learn how to customize guest labels in your seating chart and link labels to RSVP questions.

Choose which label type displays next to each guest in your seating chart to help you make informed seating decisions.

How to access settings

  1. Go to Planner > Seating
  2. Click Settings
  3. Select your label preferences
  4. Click Save changes

Guest labels

Each guest in your seating chart can show a label beside their name to help you make seating decisions. Choose from group, age, dietary requirements, country, language, or RSVP question responses.

Available label types

Select a label type from the Labels dropdown:

  • Group (default) — Shows the guest's group with a color-coded badge
  • Age — Shows infant, child, or adult with a color-coded badge
  • Dietary — Shows the guest's dietary requirements
  • Country — Shows a flag icon for the guest's country
  • Preferred language — Shows the guest's language name (requires languages to be enabled)
  • RSVP response... — Shows the guest's answer to a specific RSVP question
  • None — Hides labels

Only one label type displays at a time. You can switch between them depending on what you need to see while arranging seating.

Linking to RSVP questions

You can display a guest's answer to an RSVP question as their label in the seating chart. This helps you see relevant information while making seating decisions.

How to link

  1. In Seating settings, select RSVP response... from the Labels dropdown
  2. A second dropdown appears showing all your RSVP questions
  3. Select the question you want to display
  4. Click Save changes

Each guest's answer to that question now appears as their label in the seating chart.

Why this is useful

If you asked guests a question like "Which group are you with?" or "Do you prefer to sit with family or friends?", you can display their answers next to their names while arranging the seating chart. This makes it much easier to honor their preferences.

Labels in print and export

The selected label also appears as an extra column in the print-friendly view. This helps when sharing your seating chart with your venue or catering team.

CSV exports do not include labels.

Tips

Use group labels when arranging. Color-coded group badges make it easy to see which side or group each guest belongs to, helping you balance tables.

Switch to dietary when finalizing. Check dietary requirements to make sure guests with special needs are accounted for and seated near kitchen access if needed.

Age labels for kids' tables. When setting up a kids' table or youth section, age labels help you quickly identify children and seat them appropriately.

Link seating to table preferences. If you asked a question about table preferences or who guests want to sit with, linking to that question makes arranging seating much easier.

Country labels for international weddings. If you have guests from different countries, country labels help you create tables where people share language or culture.

Plan your RSVP questions with seating in mind. If you know you'll use responses for seating, add a relevant question to your RSVP form early.
