Guest settings
Learn how to customize your guest list display including column visibility, icon display, icon colors, and sort order.
Control how your guest list looks and which information is displayed by adjusting columns, guest icons, and sorting preferences.
How to access settings
- Go to Guests in your main navigation
- Click Guest settings at the top of the page
- Adjust your preferences
- Click Save changes
You'll see a note that says "Note: Your dashboard may take longer to load if you display too many columns at once." So don't go crazy with columns if you don't need them all.
Column visibility
Choose which columns appear in your guest list:
Basic details
- First name - Always visible (can't be turned off)
- Last name
- +1 - Shows a badge for guests with plus-ones
- RSVP - Shows the guest's status (Confirmed, Unconfirmed, etc.)
- Phone
- Stationery - Shows communication tracking status
- List - Shows A-LIST or B-LIST badge
- Side - Which partner's side
- Group - Group name
- Age - Adult, Child, or Infant
- Dietary - Dietary requirements
- Notes - Internal notes
- Table - Seating table assignment (requires Toolkit plan features)
- Seat - Seat number (requires Toolkit plan features)
- Preferred language - Only shows if you have multiple languages set up
Events
If you've created events, each one can be displayed as its own column showing the guest's attendance status for that event.
Household details
- Household - Household name
- Address - Full household address
- Country - Country with flag icon
- Children - Shows "OK" if children are allowed for this household
- Gift received - Gift tracking info
RSVP responses
If you've set up RSVP questions, each question can be displayed as its own column. You can also customize the column label for each question.
Unique links
- Save the date - Link to the guest's save the date
- Invitation - Link to the guest's invitation
- Update details - Link for the guest to update their info
- RSVP online - Link to the guest's RSVP form
- Check in - Link for check-in
Guest icons
Guest icons add a visual touch to your guest list. Each guest gets a small icon showing their photo or initials, and you can customize the color scheme to match different categories.
Enabling guest icons
- Check the Display guest icons box
- The description says "Show an icon containing a photo or initials next to the name of each guest."
Icon color scheme
When guest icons are enabled, you can choose what the icon colors represent:
- RSVP status - Colors match the guest's RSVP status (mint for confirmed, gold for unconfirmed, rose for declined, grey for not invited)
- List - Colors match A-list or B-list assignment
- Group - Colors match the guest's group color
The description says "This color will be applied to the background and border of each guest icon."
What the icons show
If the guest has a photo: The icon displays their uploaded photo in a small circle.
If the guest doesn't have a photo: The icon shows their initials (first letter of first name and first letter of last name) on a colored background.
Uploading guest photos
To add a photo to a guest:
- Click on the guest in your list
- In the Details tab, click Add photo
- Upload a PNG, GIF, or JPEG image
- Click Save guest
To remove a photo, click Delete photo in the guest form.
Sorting
You can change the order of your guest list to make it easier to work with. Sort by first name, last name, or household, and choose whether it goes A to Z or Z to A.
Sort options
Order by:
- First name - Alphabetical by first name
- Last name - Alphabetical by last name
- Household - Grouped by household name
Direction:
- A to Z - Standard alphabetical order (ascending)
- Z to A - Reverse alphabetical order (descending)
Default sort order
When you first set up your guest list, guests are sorted by first name from A to Z. You can change this anytime. Your sort preference sticks until you change it again.
Tips
Less is more. Start with just the columns you need right now. You can always add more later.
Different views for different tasks. When you're working on seating, turn on the Table and Seat columns. When you're tracking RSVPs, turn on the RSVP and Events columns. Adjust as you go.
Performance matters. The more columns you show, the longer your page takes to load. Keep it lean for the best experience.
Link columns are handy for sharing. Turn on the unique link columns when you need to copy and share individual guest links.
Icons make scanning easier. The color coding helps you quickly spot guests by status, list, or group without reading every detail.
Photos make it personal. If you have photos of your guests, uploading them makes your guest list feel really personal and helps you put faces to names.
Match the color to your current task. Working on seating? Set icons to Group colors. Tracking RSVPs? Switch to RSVP status. You can change it anytime.
Sort by household for mail prep. If you're addressing envelopes or printing labels, sorting by household groups families together.
Sort by last name for formal lists. If you need to share a guest list with your venue or planner, last name sorting often looks more organized.
